Cash Forecasting

What this service is

Practical, rolling visibility into near-term cash—so you can meet payroll, pay vendors on time, and make confident investment decisions. We build and run a living forecast that ties directly to your operations and GL.

Who it’s for

Owners and finance leads who want weekly clarity on inflows/outflows, proactive alerts, and a dependable cadence—without hiring a full treasury team.

What we do

  • 13-week cash model (rolling): daily/weekly view of beginning cash, expected receipts, disbursements, and ending balances.

  • Receipts engine: AR pipeline conversion (invoices, expected dates, probabilities), collections assumptions, and large-ticket timing.

  • Disbursements engine: AP schedule (due dates, terms, vendor priority), payroll calendars, taxes, debt service, capex, and one-offs.

  • Bank mapping: operating vs. reserve accounts; minimum balance rules; sweep/transfer playbook.

  • Variance tracking: forecast vs. actuals each week; reason codes and owner notes; adjustments rolled forward.

  • Decision support: what-if scenarios (delay spend, pull forward receipts, adjust hiring, shift terms).

  • Cadence: weekly stand-up (15–25 minutes) to review variances, risks, and actions.

Package notes: A baseline 13-week forecast and weekly update are available in lower tiers; multi-scenario modeling, covenant coverage, automated data feeds, and alert thresholds are included in higher-tier service packages.

Data & tools

  • GL sync: QBO/Xero actuals mapped to forecast lines.

  • Operational inputs: AR aging and expected receipts, AP run calendars, Ramp spend categories/reimbursements, payroll (Gusto/ADP), and debt schedules.

  • Platform: Excel/Google Sheets by default; optional BI dashboard for read-only visibility.

Deliverables

  • 13-week cash workbook (file + documentation)

  • Weekly forecast refresh and variance report (PDF + XLSX)

  • Risk & actions list (collections focus, vendor timing, discretionary spend)

  • Transfer plan (sweeps, inter-account moves) with approvals

  • Optional alert thresholds (e.g., notify if projected cash < $X)

What we need from you

  • Current AR/AP details, payroll calendar, debt service schedule, and known one-offs.

  • Point of contact for collections decisions and payment priorities.

  • Banking structure (accounts to include; reserve policies).

Onboarding timeline

1–2 weeks

1) Data pull & mapping → 2) Initial model build → 3) Assumption workshop → 4) First live forecast → 5) Weekly cadence kick-off.

Pricing drivers

Entity/bank account count, transaction volume, frequency of updates (weekly vs. twice-weekly), scenario depth, integrations (payroll, Ramp, AR tools), and alerting requirements.

Quality & security

Reconciled to bank/GL, documented assumptions and change log, least-privilege access to banking/finance data, and WISP-aligned retention.

Popular add-ons

  • Collections playbook & outreach cadence

  • Vendor terms strategy & payment calendar optimization

  • Covenant/coverage tracker for lenders

  • Cash conservation scenarios (hiring freeze, capex deferral, pricing moves)

  • Board/lender cash briefing deck and monthly KPI snapshot
